These Terms of Use govern your access to and use of the Kingo platform and associated services. By accessing Kingo, you agree to be bound by these terms. If you have questions, contact us at legal@kingo.ai.

1. Interpretation and Definitions

Agreement refers to these Terms of Use that govern all access to and use of the Kingo platform and associated services.

Kingo AI Limited ("Kingo", "we", "us", "our") means the service provider, legally registered at Flat 802 Cobalt Point, 38 Millharbour, London, E14 9JU.

User ("you", "your") means any individual or company representative registering or making use of the Service.

Service means the Kingo productivity platform, delivered via app.kingo.ai and related sites or integrations.

Documentation refers to instructions/manuals produced by Kingo for Service use.

Personal Data, Data Controller, Data Processor, Processing, and Data Protection Laws have the meanings assigned to them under applicable UK and EU GDPR statutes.

Normal Business Hours refer to 8:00–18:00 local UK time, excluding public holidays.

Subscription Fees means the relevant usage fees set out on our Pricing page.

2. Scope and Acceptance

This Agreement becomes binding upon User registration and remains so until User account closure, or termination pursuant to these terms. By accessing Kingo, the User affirms acceptance of these terms, which may be amended with notice from Kingo.

3. Usage License

Subject to subscription, Kingo AI Limited grants each User a non-exclusive, non-transferable, revocable license to use the Service under the Agreement. Users may not:

  • Sublicense, assign, rent, sell, or transfer access
  • Copy, modify, reverse engineer, decompile, or create derivative works
  • Operate competing services or enable unauthorized access
  • Introduce viruses/malware or disrupt Kingo's network
  • Exceed granted usage limits or abuse intended use cases

Notice must be provided immediately to Kingo in case of unauthorized access or security incidents.

4. Acceptable Use Policy

Users must refrain from transmitting or storing:

  • Illegal, harmful, or fraudulent content
  • Threatening, defamatory, obscene, or discriminatory material
  • Content promoting unlawful violence, hate, or copyright infringement

Kingo reserves the right to remove or block material, disable account access, and investigate suspected violations, all without prejudice to other legal remedies.

5. Service Commitment & Support

Kingo aims to provide the Service 24/7, subject to necessary maintenance and circumstances beyond our control. Service levels may vary per subscription tier. Standard support is during business hours, with extended access and custom SLAs for Professional/Enterprise clients.

Outages, routine maintenance, and emergency interventions may occur, and Kingo is not responsible for third-party interruptions.

6. Data Processing & Privacy

Kingo abides by all Data Protection Laws, including GDPR, and processes Personal Data solely for Service delivery, product improvement, security, and billing. User consents to the collection of usage data, account credentials, and integrated tool activity for these purposes.

Kingo's sub-processors and cloud providers are bound by data protection obligations. All data is secured with at-rest and in-transit encryption, only accessible to authorized Kingo staff under strict confidentiality.

User warrants that all data entered (including third-party data) has been collected in compliance with law, and that consents have been obtained where required. Users may request data deletion or copies upon account closure, barring legal retention duties.

7. Intellectual Property & Restrictions

All intellectual property in the Service and documentation belongs to Kingo AI Limited and its licensors. User retains ownership over their own uploaded data but grants Kingo the right to use aggregated, anonymized usage data for product research, analytics, and business optimization.

No content from Kingo may be copied or used for external products or research without explicit prior written consent. Kingo may request and display client logos for promotional purposes only with prior consent, and will promptly remove branding upon withdrawal of such permission.

8. Subscription, Billing, and Payment

Fees, billing, and plan management are as featured on Kingo's Pricing page. By subscribing, User authorizes Kingo to charge recurring fees via the agreed method. Kingo may revise pricing with a minimum of fourteen (14) days' notice.

Non-payment may result in account suspension or termination. All payments are non-refundable except as expressly provided.

9. User Obligations

Users must:

  • Ensure network, hardware, and third-party integration compatibility
  • Maintain secure credentials, update account and billing information
  • Cooperate in incident response and compliance reviews
  • Comply fully with relevant laws relating to online activity and data processing
  • Secure legal consent from meeting/content participants where audio or video processing is used

10. Confidentiality

Each party must keep strictly confidential all proprietary or non-public information obtained from the other, only disclosing to staff and agents who must know for performance of this Agreement, and may not use such information outside of contractual purposes. The obligation does not extend to data that is published or independently obtained, or to disclosures required by law—where possible, advance notice will be provided.

11. Indemnities

Users indemnify Kingo against claims, damages, losses, or legal costs arising from breaches of this Agreement—including misuse of the Service, data protection failures, or unlawful activity. Kingo will, in turn, indemnify Users against any claims that the Service infringes UK or EU intellectual property, subject to User cooperation and use in accordance with this Agreement.

12. Limitation of Liability

Kingo shall not be liable for:

  • Loss of profits, sales, data, goodwill, or business interruption
  • Indirect, consequential, or punitive damages

Total aggregate liability is limited to the greater of £1,000 or the fees paid in the six months preceding a claim, except where liability cannot be excluded by law. Service outputs are probabilistic, and Users are responsible for evaluating all AI-generated content. Nothing in these terms limits liability for death, personal injury, or fraud.

13. Termination

Either party may terminate:

  • Without cause, with thirty (30) days written notice
  • Immediately for material breach or non-payment
  • Upon service cessation by law, technical impossibility, or consent withdrawal

Upon notice, all Service access terminates, Confidential Information must be returned or permanently destroyed, and Kingo may delete all User Data after 10 days unless otherwise agreed in writing or legally required to retain. Any outstanding fees are due immediately.

14. Miscellaneous Provisions

Force Majeure: No party shall be liable for failure to perform due to acts beyond reasonable control, including natural disasters, war, or utility failures. Prolonged force majeure of three months allows for termination with notice.

Assignment: User may not assign this Agreement without Kingo's written consent. Kingo may assign with notice.

Waiver: No delay or failure to enforce rights shall constitute waiver; written notice is necessary.

Entire Agreement: This document represents the entire legal agreement; amendments require written, mutual consent.

Severability: If any clause is invalid, the remainder remains enforceable and the parties will substitute a valid provision.

15. Law and Jurisdiction

This Agreement is governed by the laws of England and Wales. The parties agree to exclusive jurisdiction of the courts of England and Wales for all disputes and claims.

16. Data Processing Schedule

A detailed schedule covering:

  • Types of Personal Data handled (names, emails, contact and usage details, content and communication metadata, device info, payment details, etc.)
  • Processing purposes, data subject categories, duration of retention
  • Sub-processor arrangements, international transfers, security arrangements (including cloud provider certifications, encryption, audit procedures)
  • User audit rights, process for incident response, procedure for amendment upon major regulatory changes

17. Product Security and Infrastructure

Kingo AI Limited strongly prioritizes the confidentiality, integrity, and availability of user data. The following measures outline how Kingo maintains robust security and compliance across all services:

Data Encryption

All user data at rest is secured using AES-256 encryption in our production databases. All data in transit between your device, our servers, and integrated tools is protected with Transport Layer Security (TLS), ensuring privacy and resistance against interception.

Rapid Data Deletion

Kingo is committed to promptly erasing all user account data following confirmed account closure, subject to data retention requirements imposed by law or ongoing dispute resolution.

Annual Security Audits

Kingo engages an independent, third-party security firm for thorough annual audits of its codebase, network layers, and operational procedures. These reviews help to detect and address potential cyber risks proactively.

Authentication and Access Control

User identity and access to the Kingo platform are managed through trusted OAuth2-based Single Sign-On (SSO) mechanisms, relying directly on providers such as Google and Microsoft. Kingo staff and administrators are required to use multi-factor authentication for all privileged access.

Cloud Hosting and Certifications

Kingo's infrastructure is fully hosted on Vercel and Supabase, whose platforms are built on leading public clouds with globally respected security standards. Vercel and Supabase environments benefit from ISO 27001 and SOC 2 certifications, providing stringent controls on data handling and physical security.

Role-Based Controls and Logging

Access to sensitive data and administrative controls is granted on a least-privilege, "need to know" basis. Comprehensive audit logs monitor all access and sensitive actions, with regular reviews to ensure compliance and accountability.

Incident Response

Kingo has clear, documented incident response procedures. In the event of a security breach or suspected data leak, affected users will be notified in accordance with legal requirements, and all reasonable steps will be taken to mitigate risks and restore service integrity.

Compliance and Governance

Kingo maintains compliance with GDPR, UK Data Protection laws, enterprise audit demands, and industry-specific security requirements. All sub-processors and SaaS tool vendors undergo due diligence and must maintain equivalent certifications when handling any user data through or on behalf of Kingo.

Principle of Privacy by Design

Kingo products are structured so that user data is strictly partitioned, never used for model training by default, and not accessed for operational reasons without express consent and customer support need. All product updates are reviewed for potential security or compliance impacts prior to deployment.

Users may request information about the security status of their account or copies of security attestation documents from Kingo by contacting our support team at any time.
